You've got a meeting soon, and what you need is scattered: a thread in your inbox, a line in old notes, a detail on the invite.

Instead of digging through it all & hoping you didn't miss anything, you can let ChatGPT Work pull it together for you. Here's how.

How We Used ChatGPT Work To Walk Into a Client Meeting Fully Prepped

An account manager connects their calendar, inbox & meeting notes, then asks Work to pull together what matters for today's meeting. It comes back with a draft deck & a follow-up email started, so nothing important slips through.

Why ChatGPT Work Beats a Blank Prompt

Work is the agent side of ChatGPT, which basically means it can go do things for you, not just answer. Point it at the tools you've connected & it gathers the scattered details, drafts what you need & flags anything you might've missed, so you can review instead of hunt.

Connect the tools that already hold your info, like calendar, email & notes

Round up the scattered details so nothing important slips past you

Draft the deck, doc or email for you to review, not just a chat reply

Catch gaps with its own review pass before it hands anything back

Run in the background while you keep working

How We Did It

Here's the whole flow, start to finish. Think of Work as a prep assistant: it does the gathering & the first draft, you make the calls on what matters. If you can send an email, you can do this.

1. Switch the mode from Chat to Work

At the top of ChatGPT, flip the toggle from 'Chat' to 'Work'. Same box, very different engine: Chat gives you a quick answer, Work takes on a task & does the legwork, so you're steering instead of doing it all by hand.

2. Connect the tools your info lives in

Open the side panel, click 'Plugins' & add the accounts that hold what you need, e.g., your calendar, Gmail & your meeting-notes app. Each one asks you to log in once & pick what it can see. It's the step most people skip, & it's the whole trick: Work can only pull from tools you've connected.

3. Give it the outcome in one plain brief

Skip the step-by-step instructions & just tell it what you're prepping for:

'Prepare for my client meeting today. Check my calendar, email & past meeting notes to figure out what I need, then build a presentation for it.'

You don't have to name every tool. Work figures out where the details live, makes a plan & changes course when it needs to.

💫 Level Up

Capture, Chat, Convert. Without Touching Your Budget.

HubSpot's free tools take teams from scattered touchpoints to a connected customer experience. Free forms, live chat, and landing pages all feed into HubSpot Smart CRM — so every interaction is tracked, logged, and ready to act on.

You Get:

4. Start it, then go do something else

A big task can run for ten minutes or more, so let it. Open a second session & start another job while this one works. That parallel time is the payoff, e.g., your meeting prep comes together in the background while you clear your inbox.

5. Review the deliverable like a first draft

When it's done, open what it made. Here it's an editable slide deck built from your real meeting history. Check the facts, then ask for fixes in plain English ('change the client name', 'cut this to six slides'). Work even runs its own visual pass & flags issues before handing it back.

6. Send the follow-up straight from Work

Ask for the email as an editable block: 'Draft a follow-up I can send, make it editable here.' It pulls the sender from your connected Gmail, you tweak the wording inline, add the recipient & hit send without leaving the tab.

Other Use Cases

This same setup works far beyond one meeting. Anywhere your prep is scattered across a few tools, Work can pull it together:

📈 Sales: Pull CRM notes, emails & the calendar invite into a call-ready briefing before every demo

🧑‍💼 Recruiting: Turn a candidate's resume, your notes & the job post into an interview guide

📚 Consulting: Build a client-ready recap deck from your inbox & past session notes

Operations: Gather updates from your tools into one weekly sync agenda

💡 Bonus Pro Tips

Save Your Most Used Flows. For anything you'll do again, ask Work to save the run as a reusable skill, so next time it's one click instead of a fresh prompt.

Connect one tool at a time. Add the plugin you need for today's job, run it, then layer in the next. A narrow setup gives cleaner results & makes it obvious which connection to fix if something looks off

Turn a good run into a skill. The first time you nail a workflow, ask Work to package it as a reusable skill. Next week the same prep is one click, which is where the time savings really stack up

Keep recurring jobs in the cloud. Cloud sessions run even when your computer is closed & sync to your phone, so a scheduled prep can be ready before you sit down
